Room expiration automatically removes rooms that are no longer in use. When it’s enabled, an empty room normally expires 30 days after it was created or after its most recent session — whichever is later. Expiration exists to keep accounts from accumulating rooms nobody is using anymore. It’s a per-room setting, so active rooms and inactive ones can be treated differently without anyone having to clean up manually.

How the expiration date is calculated

The expiration date moves depending on how a room is being used.
  • Default behavior. An empty room expires 30 days after creation or its most recent session, whichever happened most recently.
  • Using the room refreshes it. Starting a new session in the room resets the expiration date another 30 days out.
  • Future scheduled meetings. If a room has a meeting scheduled ahead of time, its expiration is calculated from that meeting’s scheduled end time instead.
  • Upcoming recurring meetings. Rooms with upcoming recurring meetings do not receive an automatically calculated expiration date.

What happens when the expiration date is reached

Reaching the expiration date doesn’t mean instant deletion — a few things determine exactly when and whether a room goes.
  • Cleanup runs hourly. Coresee checks for expired rooms during an automatic cleanup that runs once an hour, so deletion may not happen at the exact time shown for the room.
  • Auto-renewal. If a room contains saved chat messages, recordings, or uploaded files and media, Coresee automatically pushes its expiration forward by seven days. This repeats for as long as the room keeps receiving real activity or updates.
  • The 90-day limit. Auto-renewal stops once the room has gone more than 90 days without an actual update — the seven-day extensions themselves don’t count as activity, so they don’t restart that 90-day clock.
  • Deletion. Once auto-renewal stops and the room’s expiration date passes, it’s permanently deleted — even if it still contains saved content.
Saved content isn’t permanent storage. Chat messages, recordings, and uploaded files trigger auto-renewal, but they don’t keep a room forever once activity stops. If a room needs to be kept indefinitely, turn off Room Expiration rather than relying on its content.

How to view or change room expiration

Room Expiration is found in the Side Panel, under Settings. Only hosts and co-hosts can view or change it.
1

Open the room's Settings.

2

Expand Room Controls.

3

Find Room Expiration.

4

Check the displayed expiration date and days remaining, or change the toggle.

Common scenarios

Situations where knowing how expiration is calculated helps avoid surprises.
Each session refreshes the expiration date, so the room shouldn’t expire on its own as long as it keeps getting used. If the recurring meeting is scheduled ahead of time, the room may not show an automatically calculated expiration date at all.
Expiration is calculated from the meeting’s scheduled end time, not from when the room was created. The room won’t expire before the scheduled meeting happens.
Saved content can extend the room’s life in seven-day increments, but those extensions stop after 90 days without an update — the room can still be deleted eventually. For anything meant to be kept indefinitely, turn off Room Expiration instead of relying on its content.
